Armour Transportation Systems is currently seeking a Fleet Administrator in our Moncton, NB location.

The successful candidate will be responsible for ensuring efficient asset management, scheduling, and coordination of maintenance and repairs through strong partnerships with vendors and service providers. This individual will oversee the processing of warranty claims, issuing purchase orders, and maintaining accurate records using specialized software.

Primary Duties and Responsibilities:

  • Collaborate with preferred suppliers to review and manage sublet arrangements.
  • Process warranty claims in a timely and accurate manner.
  • Issue purchase orders, receive and store items, and accurately enter data into TMT software.
  • Coordinate preventive maintenance and service scheduling of assets with internal shops and/or pre-selected external vendors and service providers as necessary.
  • Coordinate repair services with vendors and service providers during breakdown situations.
  • Review final supplier invoices to ensure alignment with purchase orders.
  • Update TMW file maintenance software to reflect service completion and preventive maintenance expiration dates.
  • Ensure the daily closing of purchase orders for accurate record management.
  • Maintain file records, including maintenance reports, retorque information, and related documentation on a weekly basis.
  • Perform other duties as required.

Qualifications and Experience:

  • High school diploma or equivalent required.
  • Previous experience with maintenance or asset management software is a plus.
  • Demonstrated ability to work productively with internal customers.
  • Strong communication skills, both verbal and written.
  • Excellent multitasking and prioritization abilities.
  • Highly organized with a keen eye for detail, strong record-keeping, analytical and problem-solving skills.
  • Prior experience in fleet or service scheduling in a similar role is preferred.
  • Familiarity with the transportation industry and key trucking fleet terminology is an asset.
  • Ability to thrive in a fast-paced, deadline-driven environment.
